Hello to everybody!
Well it looks as though winter is really setting in with these grey mornings, frosted windscreens, and wet weekends. But hey ho, halloween and fireworks are out of the way and there are festivities to look forward to. Shopping and more shopping, decorating the house, cooking, Xmas card writing - my dreams have started already of finding myself on Xmas Eve with still loads to do and buy and the shops are closed!
So, with Xmas preparations in mind please read on ...
Xmas E-Cards
Would you like to send e-cards to your customers this year?
If so, we could produce a bespoke template for you to use for mass mailing.
With the E-card template, you can then use the Customer Search screen to perform a mass mailout.

Sending an E-Card
First decide which customer types you wish to send Xmas cards. The E-card can be emailed to all those who are email preferred. You can then produce mailing labels for all those who are not email preferred.
A blank email form is presented and all that is needed now is the name of the Xmas e-card template.
Every customer selected in the list will be sent an e-card.
Xmas Card Address Labels
Having selected 'email preferred' for the emails, you can now choose 'mail preferred' to list all customers who have not been sent an e-card. For these customers you can create labels for posting cards.
Clean Up your Mailbox
With the on-coming influx of Xmas greetings, seasonal jokes and the like at this time of year, it is a good time to remind you that your mailbox has a size limit which, when reached, will block any mail from being received and from being sent.
If you are not already in the habit of emptying your 'deleted items' or archiving, then there is no better time than now to tackle it. Remember, these items are taking up space!
Emptying Deleted Items
Items held in this folder should only be those that you have decided to
delete and if there are items that you want to keep, they should be held in another folder.
Archiving your Mailbox
Archiving your Mailbox is quick and simple. The process takes mail older than a date you specify and saves it outside of your mailbox. Archived items are then readily accessible as the archive folders are always visible under your normal mailbox folders. Each time you archive, items are added to these folders rather than replaced.
Don't forget - when your mailbox is full not only will you not be able to receive or send more emails, but there is a chance of your Mailbox becoming corrupted.

When was the last time you or your colleagues had any refresher training? And how much of what you know has been handed down by others?
Do remember that we run a new user day each month alternating between Admin and Negotiator. If you have a new starter, then please send them along for training. From their viewpoint it eases the pressure of operating a new software program whilst getting used to a new office environment and procedures.
The second session each month is generally on a theme - however, the content is dependent on the needs and questions of those who attend. Over the past months the refresher training has proved very popular. Although the content for the session is suggested, I will also ask whether there is anything in particular anybody would like to cover and also maybe skip because it is not required. This means that the session could cover anything from Newspaper Advertising to Lettings but will always ensure that everyone is up to date with the latest version.
The next Open Training days before Xmas are:
Wednesday 8th December - New User (Negotiator) Focusing on Property Search, Mailing properties, Appointments, Offers and Chain.
Wednesday 15th December - Ad Hoc Topics by request - but can include topics such as reports, newspaper advertising, floorplan, key management, etc.
Don't forget that if a half day session is more convenient for you, please call. Telephone training may also be available for a small charge provided that a suitable remote connection is available
